Set up auto-posting rules

Auto-posting rules decide which loads from your TMS post to Cargado, how they are priced and who gets the bids. A rule applies to loads that sync or update after it is on.

Once your TMS integration is live, auto-posting rules decide which synced loads post to Cargado on their own, how they are priced and who gets the bids. Without a rule, synced loads wait under Review to Post until someone posts them by hand.

Which loads a rule can post

A rule posts only loads that are available in your TMS. A posted load comes down when it is covered, booked, cancelled or completed in your TMS. Which statuses count as available is set with you during setup:

  • Turvo: Tendered, Tender accepted and Available, confirmed with you at setup.
  • McLeod: usually AVAIL, set for your company at setup.
  • Tai and Revenova: your Cargado contact sets which statuses post during setup.

A rule applies to loads that sync or update after it is on. Loads already in Cargado when you turn it on stay as they are; post them by hand from Review to Post.

Step 1: Open your rules

Go to Freight, then Rules. Every rule your company has lives here, and + Rule opens a new one.

Step 2: Choose which loads the rule matches

Pick the level first:

  • Country-level covers every load from one country to another, like the U.S. to Mexico. Most brokers start with one rule per country pair.
  • Market-level covers one market to another, usually one shipper's lane with its own requirements.

Then narrow the rule by the lane's origin and destination, equipment, customer and pickup window.

Step 3: Fill in what your TMS doesn't send

On the Rule tab, add the requirements carriers need to see that your TMS doesn't carry, like Facility is CTPAT Certified. Leave Use recommended border crossing on, or set a shipper's own crossing in a market-level rule. The option to apply these details to all matching loads only adds the details to those loads; it does not post them. Click Save and continue.

Step 4: Turn on auto-posting and choose a pricing method

On the Posting tab, turn on Automatically post loads matching this lane, then choose a pricing method: Use Max Buy from TMS, Use Target Rate from TMS, Set Fixed Reserve Price or Bid-only. Your Cargado contact can help you choose the one that fits how your team prices freight.

Some loads arrive without a rate. To post them anyway as bid-only, check Post loads even when rate is not available and pick the Currency of Payout.

Step 5: Choose the coverage owner

Choose Use Teams and Users from TMS so chats, bids and matches go to the rep assigned in your TMS, and pick a Fallback Coverage Owner for loads that arrive without one. To send every load to the same person, choose Use Specific Team and User instead.

Step 6: Save

Save the rule. You'll see "Auto posting rule activated, this may take a few minutes to apply." From then on, matching loads that sync or update start posting within a few minutes.

After a load posts

Carriers bid in Cargado, and each bid comes back to the load in your TMS. When you book a carrier, the booking syncs back to your TMS too. The rate confirmation still comes from your team. See What does a TMS integration do?
